At Base Design, the Operations Manager plays a central role in ensuring the studio runs smoothly, efficiently, and sustainably.

Working closely with the Managing Director and in coordination with Project Managers, this role focuses on structuring, optimizing, and overseeing the operational and financial backbone of the studio.

The Operations Manager enables the team to focus on creative excellence by bringing clarity, rigor, and anticipation to how the studio operates day-to-day.

This position is based in Brussels, Belgium. From June or September 2026.

Responsibilities

1. Workflow & Operations Optimization

  • Develop and implement processes to streamline studio projects
  • Identify operational bottlenecks and implement solutions
  • Optimize and ensure consistency in how projects are tracked, managed, and delivered

2. Financial Oversight & Data Consistency

  • Ensure consistency and alignment between project tracking and financial data
  • Prepare and consolidate financial inputs (invoicing, accruals, revenue tracking, margins)
  • Act as the main point of contact with external accountants
  • Support the Managing Director in monitoring studio financial performance

3. Reporting & Decision Support

  • Prepare monthly financial and operational reports
  • Build and maintain clear, actionable dashboards for the Managing Director
  • Provide reliable, structured data to support decision-making

4. Tools, Systems & Technology

  • Manage and improve the studio’s technology ecosystem
  • Oversee software licensing and ensure tools are effectively used across teams
  • Act as a point of coordination for IT support to ensure the team can work efficiently
  • Identify and implement new tools that improve productivity, collaboration, and visibility

5. Internal Coordination & Governance

  • Support the preparation of key internal meetings
  • Structure relevant data, insights, and materials for decision-making
  • Track key decisions and ensure follow-through across teams
  • Contribute to transversal initiatives (talent, processes, positioning) through coordination and execution

6. Impact & BCorp Commitments

  • Support the implementation and follow-up of Base Design’s BCorp commitments within studio operations
  • Develop and maintain sustainable operational practices (e.g. resource usage, suppliers, energy efficiency, waste reduction)
  • Track and structure relevant data to support BCorp reporting and certification requirements

Qualifications

  • At least 3 to 5 years of experience in operations or business controlling
  • Strong business and financial understanding
  • Excellent analytical and structuring skills
  • Highly structured and detail-oriented
  • High level of trust, discretion, and autonomy
  • Hands-on, pragmatic, and solution-driven
  • Strong communication and coordination skills
  • Fluent in English (French is a plus)

  • Experience in an agency or service-based environment is a strong plus
  • A genuine interest in design, technology, and culture
  • Experience working with financial tools, dashboards, or business reporting
  • Ability to translate data into clear insights and recommendations
